How to get an EIN for your Form 2290

With the 2021-22 Form 2290 renewal season happening right now, you should have already filed your heavy vehicle use tax. But many of you may still be wondering if you can file using your Social Security Number.

Unfortunately, the good old days of simply using your Social Security Number to file those 2290’s are long gone, and if you don’t already have an EIN, you don't have much time left to apply for one before the August 31 deadline.

What’s an EIN?

An EIN, also known as an Employer Identification Number or a Federal Tax Number, is a unique nine-digit number that is used to file heavy vehicle use tax. TSNAmerica can help you get one, right now!

EIN numbers:

  • Contain nine digits in the form of XX-XXXXXXX
  • Cannot be transferred or cancelled
  • Are used for business activities only
  • Should not be used in place of your SSN

Why Do I Need One Now?

You may be wondering why you should begin this process now if you haven’t already. Well, the process of filing for and receiving an active EIN can be a bit time-consuming, and if not done in time, can delay your 2290 filing and even potentially cost you late penalties.

On average, it takes the IRS 10 business days to activate an EIN, and in some cases, it can even take up to 15. Until your EIN becomes active, your return will be rejected again, and again, and again. With the August 31 deadline only 18 days away, it's time to get that EIN, now!

How Can I Get One?

Although the process of obtaining an EIN is free through the IRS, it can be somewhat of a daunting task to handle on your own. The good news is that even if you don’t have the time to go through the strenuous process of filing and waiting for an EIN to become active, we can do it for you!

Truck Services of North America specializes in making the entire process as simple and hands-off as possible for truck owners and operators. TSNAmerica’s tax specialists provide countless services for truckers and will take care of the EIN process in its entirety with a simple five-minute phone call.

Be sure to exercise caution, however, as there is no shortage of people out there charging upwards of $400 in return for assistance with the process. TSNAmerica provides this service for only $80.

After you have your active EIN, there’s only one thing left to do and that’s to file your 2290. Don’t want to deal with that process either? With another simple five-minute phone call, TSNAmerica will take care of that for you too and have your stamped Schedule 1 sent to you in a matter of minutes. If your return is rejected for any reason, TSNAmerica will even make any necessary changes and resubmit your 2290 until it is accepted by the IRS.

Misplaced Your EIN?

If you have already received your EIN number but forgot or misplaced it, here’s what you can do:

  • If you’ve ever E-filed your 2290 with our friends over at ExpressTruckTax, then your EIN is automatically stored in your account. Just log in and view your business details on your dashboard, or pull up a previously filed return to find your EIN.
  • Check with the bank or the institution that you applied for a license with. Both should have your EIN on record.
  • If all else fails, call the IRS Business and Specialty Tax Line at 1-800-829-4933. After you verify your identity, the IRS will be able to provide you with your EIN.

Be The First To File The 2020 IRS 2290

It’s that time again. The IRS Form 2290 season is here!

While most Form 2920 providers are waiting until July to open the 2020 season, here at TSNAmerica, we’re open right now!

That’s right, you can file your 2020 HVUT today!

How do you file your Form 2290?

Just grab your phone and call one of our helpful, US-based support staff! They’ll take your information down and file your 2290 for you!

On July 1, when the 2290 tax season is officially open, we’ll take your filled out 2290 and transmit it to the IRS. Then, as soon as it is accepted, we’ll send you your Stamped Schedule 1.

Why should you file your Form 2290 today?

Filing early gives you a ton of time to make amendments to your 2290 if you realize you made a mistake or the IRS rejects it for any reason.

If you file early, the hard work is done. All you have to do is save your pennies so that you can make your payment later. That’s right! If you select Electronic Funds Withdrawal (EFW) as your payment method, you don’t have to pay the Heavy Vehicle Use Tax until July 1! And even better, if you pick check or money order, you’ll get until August 31.

When the IRS starts processing HVUT returns on July 1, your Form 2290 will be sitting pretty on top of the pile. And did we mention that means you’ll get your Stamped Schedule 1 back first too?

We take care of the rest. Here at TSNAmerica, once you call, we file for you with the IRS!

File your 2290 today!

Do You Need To File a Form 8849?

Trucker using form 2290 and form 8849

If you’re new to trucking the numbers used for necessary forms may be a bit overwhelming. There’s 2290s, 8849s, 4868s, 1099s, and 123s, we might be exaggerating with the 123s, but you get the gist, it’s a lot of forms and a lot of numbers to remember. We won’t bore you and got through each form 1 by 1, but we will tell you about the two most relevant ones for this filing period.

What is Form 2290?

The form that you have probably heard the most about, as of late is Form 2290. So what is Form 2290, and how does it relate to you, if at all.

Form 2290 is used to figure and pay the tax due on highway motor vehicles used. Your next question
is probably does it even apply to you, and the answer is it might. All vehicles with a taxable gross weight of 55,000 pounds or more that travel by highway is required to file a Form 2290.

After paying taxes you will be given a Stamped Schedule 1 that serves as proof of payment from the IRS. This document is important, as it is needed in order to register your commercial vehicle.

Do You Need to File Form 8849?

There are exemptions and claim suspensions that apply to some vehicles meeting certain requirements. The requirements are as follows:

  • The vehicle used 5,000 highway miles or less during the period.
  • The vehicle is an agricultural vehicle and used 7,500 miles or less during the period.
  • The Vehicle was stolen during the period
  • The vehicle was destroyed during the period
  • The vehicle was sold during the period

The above list leads us to the importance of Form 8849. If any of the above are true about a vehicle you owned then you must first file a Form 2290 and pay the correct amount of Heavy Vehicle Use Tax (HVUT) and then complete Form 8849.

Claims and Refunds

In order to claim credits or refunds for vehicles stolen, destroyed, sold, or only used for 5,000 miles or less and 7,500 miles or less for agricultural vehicles, the Form 8849 is required. The things you’ll need to file a Form 8849 are your name, address, details on the vehicle you are seeking a claim/refund for and your Employee Identification Number (EIN). Be sure to double-check that the EIN you are using is consistent with what the IRS has on file.

*If an EIN is needed you are able to apply for one online with the IRS.

File With Truck Services of North America

Truck Services of North America (TSNA) is offering pre-filing! File as early as today, with one phone call. Support team members are standing by to assist you with all of your Form 2290 needs.

File With ExpressTruckTax

The great thing about our sister company, ExpressTruckTax is that it makes all of your Form 2290 filing simpler. It even gives you a chance to auto-generate a Form 8849 if you are in need of one for the current filing period.

IFTA Filing Services: Work Less, Worry Less

The filing period for 1st Quarter IFTA returns opens in just a few short weeks! Will you be ready?

Now is the perfect time to start organizing your trip sheets and fuel receipts, and to think about sending them to us to prepare your return for you.
If you’re extra busy this quarter, or if you’d rather have a root canal than file one more tax return, then it’s time to call in the experts!

As a premier processing agency, we can file BOC-3’s, obtain MC#’s, and register EIN’s with one hand tied behind our back (blindfolded)!

But our true expertise is IFTA filings. Check out our packages below, and see which one is right for your business.

IFTA Filing Services

  • IFTA Basic- $75 per quarter + State Fees
It may be basic, but it’ll get the job done! Send us your total miles and fuel purchases each quarter, and we’ll complete your return and file it directly with your state.

  • IFTA Premium- $110 per quarter + State FeesLevel up with our premium package! Send us your trip sheets and original fuel receipts each month, and at the end of the quarter, we’ll calculate your mileage per jurisdiction, MPG, and fuel tax. Then we’ll complete your return and file it for you. (Does not include audit.)

  • IFTA Complete- $150 per quarter + State Fees
Achieve IFTA Nirvana. This luxury service includes everything you need to get your quarterly IFTA filed with minimal effort and minimal risk of being audited. Like the premium package, we do require that your send us your trip sheets and original fuel receipts each month, and we use these to calculate and prepare your return.

But unlike the premium package, this service includes a thorough audit of your information to decrease the risk of errors, as well as your risk of being audited or fined. While preparing your return, we’ll check your trip sheets for state adjacency and gaps in odometer readings, then we’ll review all fuel purchases for consistency. When you think of the time (and possible audits) that this package can save you, it’s quite a steal!

Our expertise doesn’t stop there. It also extends to quarterly State Use Taxes and annual HVUT too. Like IFTA, we can use your trip sheets and fuel receipts to complete your quarterly NY HUT, KYU, New Mexico Weight-Distance, or Oregon Weight-Mile tax returns.

We also offer Form 2290 over-the-phone filing! One quick phone call to get your details, and we’ll prepare and file your HVUT that day.

No matter how much paperwork you have to do, or how little time you have, TSNAmerica has a service package that’s right for you. We can do as much or as little as you need us to, and we’ll always be there to lend a helping hand when you need it most.

Maintain Your Operating Authority: Are You Forgetting Something?

So you’ve managed to obtain your operating authority- which is no easy task!

But now comes the even trickier part of ensuring that your authority is maintained correctly.

With “maintenance” tasks required on a quarterly, annual, and biennial basis, it’s easy to forget one or more of the filings that are required for you to continue operating. But unfortunately, forgetting isn’t an option when your livelihood is at stake.

That’s why we’ve compiled a list of everything you need to file- and when- for you to maintain your interstate operating authority like the pro that you are.

Basic Authority Maintenance

  • USDOT # Biennial Update: Your DOT# must be updated every two years in order to remain active. To update, simply provide the FMCSA with your current contact info, even if it hasn’t changed. The deadline for your biennial update is determined by the last digit of your DOT # which corresponds to a particular month. For example, numbers ending in 9 must be updated every other year in September. Not sure what your digit means? We can tell you what year/month your update it due and help you avoid penalties or deactivation.
  • Change in Operation or Cargo: If your operation changes in any way, or if you start carrying a different type of cargo, you may need to apply for another authority in addition to your MC#. TSNA can apply for your FF or MX numbers as needed and help ensure uninterrupted operation.
  • Change in Contact Info: If your contact information changes, even slightly, you must immediately notify the FMCSA, as well as your BOC-3 blanket agent. This is to ensure that you can be contacted immediately in the event that your business is served legal papers.

Annual Renewals

  • UCR, IRP & IFTA Renewals: All three licenses must be renewed annually, usually by December 31st. IRP renewals, however, may be due at the end of another quarter depending on regulations in your base state. Check with TSNAmerica to see if you have a staggered deadline.
  • State Use Tax Licenses: If you’re subject to an additional state use tax, then these licenses must also be renewed annually. For example, the Kentucky Use Tax can only be paid if you first have a KYU Number, and the Oregon Weight Weight-Mile Tax can only be filed with a current Weight Receipt.
  • HVUT: Heavy vehicle use tax must also be paid each year. The HVUT tax year opens July 1st, and Form 2290 is due by the end of July for all renewals. It is important to file your Form 2290 on time, even if no tax is owed. The stamped Schedule 1 (your receipt for filing) is required for tag renewals. TSNAmerica can file your 2290 over the phone, same day! Just one more way we go above and beyond to accommodate your busy schedule!
  • Recordkeeping: As always, proper recordkeeping is vital to remaining compliant. Failure to maintain records could result in penalties, so be sure you’re updating your distance and fuel records daily.

Quarterly Tax Filings

  • IFTA Returns: In addition to renewing your IFTA license annually, mileage and fuel use reports by jurisdiction must be submitted each quarter at the end of January, April, July & October. Any fuel taxes owed must be paid at the time of filing.
  • State Use Tax Returns: Like IFTA, state use taxes also require quarterly mileage/fuel use reports. If you operate in Kentucky, New York, New Mexico, or Oregon, then you are subject to a quarterly tax based on the miles accrued in that state.
  • Quarterly Recordkeeping: For all of these quarterly taxes, proper recordkeeping is essential. Submitting inaccurate or incomplete distance and fuel records will only result in paying more taxes, and it can even result in being audited, paying penalties, and in the worst case scenario, your license being revoked. All original documents, receipts, and trip sheets should be kept in your base jurisdiction for at least 4 years after the close of the quarter.

It’s easy to get overwhelmed when your paperwork outnumbers you 20 to 1. Level the playing field by making TSNAmerica your ally.

When you become a TSNAmerica client, you’re our client for life. We won’t register your MC# and then leave you to figure how to maintain your authority all by yourself. We go the extra mile to remind you about upcoming deadlines and to lend you a helping hand when you need it most.

In fact, we can file all of the above and then some! No matter what your business needs, chances are we have a service to cover it. To view all of our service packages, head over to tsnamerica.com, or to speak with one of our processing professionals, just call us directly at 803.386.0320. We look forward to being your partner!

Obtain Your Operating Authority: Follow this Checklist

Are you ready and rarin’ to hit the open road?

If starting a transportation company is what you fancy, then you’ve come to the right place!

To obtain your interstate or intrastate operating authority, make sure you have everything on this list covered, and then nothing will be holding you back.

USDOT#

Issued by the Federal Motor Carrier Safety Administration (FMCSA), the USDOT# serves as your vehicle’s identification for compliance reviews and more.

The DOT# is required for your vehicles if 1. You operate interstate (across state and international lines), 2. You transport passengers or cargo, and 3. Your vehicle has a total gross or combined weight of 10,000 lbs or more. If you meet all 3 of these criteria, you must register with the FMCSA and obtain a DOT#.

There are exceptions, however. Many states now require intrastate carriers to also have DOT#’s, especially if you transport hazmat.

MC#

Also granted by the FMCSA, the MC# is the authority issued to interstate for-hire carriers. Additional authorities (FF or MX numbers) may need to be obtained depending on your business’s operations and cargo. TSNAmerica can help you determine which authority is needed for your business.

BOC-3

The blanket of coverage, known as BOC-3, must be filed with the FMCSA before your MC# will be activated. The BOC-3 designates process agents in all states that your business operates, and these process agents accept legal papers in your absence. TSNAmerica is an FMCSA registered blanket agent, so we can file your BOC-3 directly with the FMCSA, same day. No third party involvement.

UCR

The Unified Carrier Registration is a federally-mandated, state-administered program for the registration of interstate carriers in the US, Canada, and Mexico. Like the DOT#, UCR is required for vehicles weighing 10,001 lbs or more. This license must be renewed annually, and businesses will be charged an annual fee based on the number of vehicles they own or lease long-term.

IRP

The International Registration Plan is required for all interstate carriers with vehicles weighing over 26,000 lbs or with 3 or more axles. IRP licenses must be renewed each year, but the deadlines vary by state and are often staggered based on the month in which you first registered. If you aren’t sure when your renewal is due, just give us a quick call and we can help you sort it out.

IFTA

The International Fuel Tax Agreement is required for all interstate carriers with vehicles that weigh over 26,000 lbs or have 3 or more axles. Not only must this license be renewed annually, but registrants are required to submit quarterly reports of their mileage and fuel use broken down by state. Any fuel tax owed must also be submitted at the time of filing. To determine which state is your base jurisdiction and for tips on proper IFTA recordkeeping, just ask TSNAmerica for assistance.

HVUT

Heavy vehicle use tax is an annual federal tax levied on commercial vehicles that weigh 55,000 lbs or more and that travel at least 5,000 miles on public highways throughout the year. Whether you’re an interstate or intrastate carrier, you must pay your annual HVUT if your vehicle meets the criteria above. After filing, you’ll receive a stamped Schedule 1 as confirmation. This is one piece of paper you want to keep on hand as a current stamped Schedule 1 is required to renew your tags, renew UCR, and more.

To pay your HVUT, you can either E-file your Form 2290 or have TSNAmerica do it for you! We can even file your HVUT over the phone by just collecting a few key pieces of information.

Intrastate Authority

If you stay entirely within the boundaries of your state (intrastate only), then most of the above will not apply to you, except for the DOT#. Many states now require DOT#’s for intrastate for-hire carriers.
It’s also possible that your state has an additional state use tax: New York, Oregon, Kentucky, and New Mexico all do. We can help you register for this state tax and keep up with the quarterly and annual filings.

Once you make it through the hurdles of initially obtaining your authority, then comes the work of maintaining your authority correctly. The USDOT# must be updated biennially, IFTA and UCR registrations renewed annually, and IFTA reports filed quarterly.

That’s why at Truck Services of North America our mission is to stay with your business for the long haul. We won’t just set up your authority and leave you to figure the rest out. We stick with you and ensure that your business remains up-to-date on all registrations, permits, and taxes.

To see how we can help you establish and maintain your business, view our service packages at tsnamerica.com. Then call us at our headquarters in Rock Hill, SC at 803.386.0320 or shoot us an email at support@tsnamerica.com.

  • Heavy Vehicle Use Tax: If you have a heavy vehicle that was first purchased or put in use anytime during December 2014, then 01/31 is the deadline for you to file your HVUT Form 2290. After filing your 2290, you will receive the stamped Schedule 1, which is required for renewing your tags, IRP registration, and more. To file on-time, you can use an online E-filing service like ExpressTruckTax, or you can have TSNAmerica file over the phone! We can complete your 2290 same day with just a short phone call to gather your info.

  • 4th Quarter IFTA Returns: Saturday is the filing deadline to report your operations from October through December of 2014. This means you’ll need all completed trip sheets with your mileage per jurisdiction, fuel purchases & fuel use per jurisdiction, as well as original fuel receipts. Personal and unloaded miles must be reported. And even if you didn’t operate this quarter, you must still file a Zero Return if you hold an IFTA license. Don’t forget that after you file, you must still retain all original documents and receipts in your base jurisdiction for at least 12 more quarters. TSNAmerica can prepare your return based on your trip sheets, but we file on a first come, first served basis, so don’t wait another second to give us a call!

  • Additional State Use Taxes: 4th Quarter Tax reportings for several state use taxes are also due this week. If you operate in Kentucky, New Mexico, or New York, then more than likely, you will need to file these state use taxes by the 31st. You will also need to obtain a tax license before filing this tax, such as the KYU Number for Kentucky or the NM Tax Permit for New Mexico. But that’s not all! Oregon Weight-Mile filings are due for those on a quarterly mileage fee basis. Your fee basis is determined by your vehicle’s weight and load contents. If you’re unsure of yours, check with the ODOT. And remember, a weight receipt must be obtained before you can operate and file the Oregon Weight-Mile tax, and this receipt must be renewed annually.

If you need to file one or more of these taxes before the deadline, contact TSNAmerica to find out how we can help. Or visit tsnamerica.com.

We have a wide array of services to meet all of your business’s filing needs. Our mission is to take the paperwork out of your way and make running your business as stress-free as possible. To start saving time and saving your sanity, simply call us at 803.386.0320, and one our happy helpers will get you started today.

IRP Renewal Season Starts Now

Fall isn’t the only new season to come knockin’ on your cab door.

October is nearly here, which can only mean two things for truckers: It’s not only getting close to 3rd quarter IFTA filings (due on Halloween!), but it’s also the beginning of IRP Renewal Season!

The International Registration Plan is an agreement among all 50 states and 10 Canadian provinces for the fair distribution of registration fees to each jurisdiction based on a carrier’s distance traveled in each.

If you think that sounds confusing, that’s just the start! While IRP certainly makes registration fees less complicated, it’s still difficult to keep up with your base jurisdiction’s particular requirements, like the renewal due date, proper display of registration credentials, etc.

That’s where TSNAmerica comes in. As a premier processing service, we know the requirements for each jurisdiction and can ensure everything is filed correctly and on-time.

And today, we’re going to help you sort a few things out. For those completely new to IRP, we’ll give a brief overview of the plan. And for you seasoned IRP vets out there (or just first-time renewers), we’ll see which jurisdictions have renewal due dates coming up, and what you need to do about it.

Who is IRP for?

IRP is for commercial motor carriers operating in multiple jurisdictions across the US and Canada. In other words, it’s for those who travel interstate (not just intrastate) with a vehicle weighing over 26,000 lbs. and/or having three or more axles.

How does it benefit you?

IRP simplifies registration and distribution of fees. Rather than calculating the amount due to each jurisdiction you travel through, and sending the amount to each, with IRP, you only pay your base jurisdiction. Your base then calculates the amount due to each jurisdiction using your mileage reported, and it distributes the funds accordingly.

IRP also streamlines registration credentials. Rather than having several cab cards, license plates, and stickers for each jurisdiction, your base will issue one registration credential to display according to the rules in that state/province.

Finally, the fees from IRP registration contribute toward highway infrastructure and safety programs.

What are your responsibilities?

While the application and renewal processes vary by jurisdiction, there are a few basics expected of all IRP participants.

  • Choose your base jurisdiction.

-Typically, this is the state in which your business headquarters is located.
-You must provide documented proof to support your right to base in each state. Requirements will vary.
  • Apply for IRP registration with your base.

-This will not only require proof of your right to base there, but also a completed application with the appropriate fee.
-Proof of current year’s HVUT paid with a stamped Schedule 1 for vehicles weighing 55,000 lbs. or more.
-Additional documentation, such as IFTA registration, vehicle title, proof of insurance, proof of proper records keeping etc., may be required by your base. Check the requirements of your particular state.
  • Properly display registration credentials upon receipt.

-Again, this will vary by jurisdiction.
  • Maintain thorough distance records by jurisdiction.

-Records of mileage traveled in each jurisdiction are vital to ensure proper distribution of fees. These records must also be readily available in your base state for audit and must be kept for at least 3 years after the close of the registration period.

Now, for those already registered with IRP, which jurisdictions have a renewal deadline coming up? Montana and Utah have staggered renewal deadlines. Check your cab card for the expiry date.

Montana IRP Renewal Due: 09/30/14 for those with September expiry.

Utah IRP Renewal Due: 09/30/14 for those with September expiry.

Kansas IRP Renewal Due: 12/31/14

Nebraska IRP Renewal Due: 12/31/14

Oregon IRP Renewal Due: 12/31/14

Wyoming IRP Renewal Due: 12/31/14

While we covered quite a bit of ground here, there’s much more to learn about IRP regulations in your particular base.

TSNAmerica can assist you with acquiring your IRP registration or renewal. In fact, if you're one of our current clients, you should have received the renewal instructions via mail already!

And if you're just starting out, we can arrange everything you need to obtain your interstate authority. We even have authority packages to get your new business up and running fast!

Don’t risk hefty fines. Ask the experts and get the job done right the first time. Call TSNAmerica 803.386.0320. or email at support@tsnamerica.com.

Have a happy & healthy Fall season!

Form 2290 Errors, Corrections, and Amendments

Earlier this week, we braved the HVUT Form 2290 filing deadline for vehicles first-used in July. And we survived!

Now that the tax-filing commotion is dying down, it’s time to deal with the aftermath. Often while the dust is settling, those who filed on time begin to notice errors in the information they reported to the IRS.

Misspellings in names or addresses, VIN errors and more begin to crop up. But how do you correct a return that has been accepted? Will this error mean you owe more tax or will you be entitled to a refund?

Here are a few quick tips to help you figure it out. Of course, this is only the tip of the tax-filing iceberg, so if you’d like the real nitty-gritty details, it’s best to ask an expert (like us!).

Form 2290 Amendments may be filed for the three instances below.

  • VIN Correction: If your 2290 was accepted by the IRS, but you noticed a VIN error on your return, then you must file a VIN correction. Upon acceptance of the amendment, you will receive a new stamped Schedule 1 with the correct information. This correction should be filed immediately as an innaccurate Schedule 1 will lead to vehicle registration issues.
  • Suspended Vehicle Exceeds Mileage Limit: If you initially filed your vehicle as suspended (category W), but it exceeds the 5,000 mile limit (or 7,500 miles for agricultural vehicles), then you must promptly file this amendment to notify the IRS and pay the tax owed. This change must be filed by the end of the following month after the mileage was exceeded.
  • Increase in Gross Vehicle Weight: When filing Form 2290, vehicles are taxed, in part, according to weight category. If during the year, your load weight increases and causes your gross weight to extend into the next highest category, then this amendment should be filed. The filing is due by the end of the month after the increase takes place. You will be required to report the date that the increase began, and calculate tax-owed based upon that date.
For typos, misspellings, and name corrections, you must call the IRS directly to make the change. However, if you had Truck Services of North America file your 2290, then we’ll make any corrections for you!

Form 8849 Credits for Excise Taxes can be filed to request a refund on taxes paid!

There’s always a silver-lining, even with taxes. However, not all changes warrant money back. For instance, credits are not awarded for vehicles that operate at a lower gross vehicle weight than initially reported. Moreover, refunds are not given if a vehicle is not used for part of the year.

The following are qualifying events for a tax refund:
  • Vehicle is lost, stolen, or destroyed. In any of these events, refunds will be issued by filing Form 8849 along with Schedule 6, reserved for other claims and credits regarding Form 2290.
  • Vehicle traveled too few miles during the tax year. If your vehicle traveled 5,000 miles or less during the tax year (7,500 for agricultural vehicles), then you may file for a refund.

Rather than file for a refund, you may claim a credit on next year’s 2290 and apply it directly to that return, thereby reducing the amount of tax owed.

Throughout the tax year, changes are bound to occur. Instead of fumbling around with the six Schedules that go with Form 8849, why not have us handle it for you? We’ll not only get your money back faster, but we’ll turn your stressful experience into a distant memory by filing exactly what you need, right when you need it.

And best of all, we can file all of these form for you over the phone! Simply call us, give us your info, and then send us a consent form. We’ll then file on your behalf, and in the same day no less! You can’t find service like that, especially for our competitive pricing.

State of the Week: Georgia Intrastate Trucking

Today, Georgia is on our minds!

It’s the 11th largest trucking state in the country! So let’s talk about intrastate trucking, Georgia style. If you’re based in the Peach State, buckle up and have a look at what you’ll need to keep on truckin’.

  • 1. Truck Tax: Also known as Heavy Vehicle Use Tax, this fee is collected annually by the IRS.
Anyone owning a vehicle that operates on public roads and that weighs 55,000 lbs. or more must pay this tax. The tax year begins July 1st, and the filing deadline for renewals is the end of August. By filing Form 2290, one can determine the amount of tax or credits owed to the IRS. After filing, you’ll receive a Stamped Schedule 1.

Completing Form 2290, Amendments, Form 8849, and everything else that comes along with HVUT can be overwhelming. No one understands this better than TSNAmerica. We talk to you, real truckers, every day. That’s why we offer same-day filing of Form 2290– over the phone! Just one quick phone call, and then you can keep trucking while we take care of the paperwork.
  • 2. GIMC: The Georgia Intrastate Motor Carrier registration, known as GIMC, is required for all carriers that operate a motor vehicle for compensation within the state of Georgia. Registering for the GIMC grants carriers their intrastate authority. There are four steps required to successfully register for GIMC. First, one will need the completed GIMC application form. Form E, a certificate of liability insurance issued by the insurance provider, is the second requirement. Steps 3 and 4 prove one’s US citizenship or right to operate in the US. A completed and signed GSICA affidavit accompanied by proof of ID are needed. Steps 3 and 4 will need to be repeated annually for those who are not US citizens.

To maintain your Georgia intrastate authority, the GIMC needs to be renewed annually by the end of December. Current proof of insurance is needed. Upon renewal, you'll receive a certificate to keep for your records. Failure to complete your GIMC renewal before Jan. 1 will incur additional fees per vehicle. TSNAmerica can help you maintain your authority, so you never have to worry about renewal deadlines!
  • 3. Base Plate: Georgia commercial license plates must be affixed to each non-apportioned vehicle (vehicles not part of the IRP that travel intrastate only). The Georgia base plates can be obtained from a local county tag office, part of the Georgia Department of Revenue. For vehicles weighing 55,000 lbs. or more, you will need to present your Stamped Schedule 1 from the IRS to obtain the tag and decal.

This vehicle registration must be renewed annually. TSNAmerica can file for your Georgia base plate renewal each year, which means you’ve got one less thing to worry about! And if you ever need to make a one-time trip across state lines, TSNAmerica can obtain a temporary Georgia trip permit in lieu of registering for IRP.

Whether you’re trucking intrastate, interstate, or somewhere inbetween, Truck Services of North America is your go-to solution for immediate results. Between taxes, registrations, and permits, the truck drivers of America are saddled with far too much paperwork! That’s why we are dedicated to offering the fastest processing service in the business so that you can focus on what’s really important: the road!

Visit TSNAmerica.com and see all of the ways we can make your life easier! Then send us a Service Request Form, email us at support@TSNAmerica.com or call 803.386.0320.

Surviving an IFTA Audit

In our last installment of IFTA 101, we covered some ways to avoid an IFTA audit. Quarterly reports with non-continuous miles or skewed MPG are just some of the red flags for IFTA auditors.

But even if you avoid these pitfalls, there is still a chance that you will be chosen at random for audit. This is because each base jurisdiction is required to audit 3% of IFTA accounts per year. If any lucky trucker can win the IFTA audit lottery, that means you need to be prepared to avoid potential penalties.

So how can you be ready? Daily diligence in keeping records is the only solution. This may sound like a hassle, but if you ever get that phone call, you will be relieved knowing you don’t have to scramble around your cab and dig crumpled receipts out of every crevice! Five minutes a day keeps the penalties away!

Documentation required can be broken down into two simple groups: Distance Records and Fuel Records. Monthly and quarterly summaries are not sufficient alone, so keep all original reports and hard copies.

Distance Records must contain the following:

Basic information about the driver and vehicle:
    • Driver’s signature and name
    • Registrant’s name
    • Vehicle Fleet number
    • Vehicle Identification Number
    • Trailer number
Trip Information:
    • Start and End dates of the trip
    • Trip Origin and Destination
    • Routes of Travel
    • Odometer/Hubometer readings from start & finish
    • Total Trip Miles/Kilometers
    • Miles/Kilometers by Jurisdiction
Remember that personal and leased miles must also be included.

Fuel Records must contain the following:
    • Original receipts for each purchase. Copies or scans are not acceptable. Keep them in good condition and do not write on or alter them in any way.
    • Date of purchase
    • Seller’s name and address
    • Number of gallons/liters purchased
    • Fuel type
    • Price per gallon or total of sale
    • Unit numbers
    • Make, model, and gross weight of the licensed vehicle
When withdrawing from Bulk Fuel, a bulk metered record must also be kept. Record the date of withdrawal, number of gallons, fuel type, Unit or VIN number of vehicle you’re filling, and the purchase/inventory records from the initial bulk fuel purchase. This verifies that tax was paid.

If these records are kept organized and legible, you’re several steps closer to surviving an IFTA audit. Here are a few more survival tips:
  • To stay organized easily, print your Trip Record on an 8 ½ x 11 envelope and store fuel receipts inside.
  • Use a G.P.S. to automatically track and upload your miles, but be careful. Not all systems track mileage precisely enough for tax purposes, so be sure that your G.P.S. is IFTA approved.
  • Routes taken must be accurate as auditors know details, such as when and where construction was taking place, detours, closed bridges, etc.
  • Supporting documentation for the last 12 quarters should be stored in your base jurisdiction, or you may have to pay travel expense and per diem for the auditor to access them.
  • Cooperate with the auditor to the best of your ability. Avoiding phone calls or not providing the correct documents will only increase the likelihood of penalties. Also, the four-year retention requirement will be extended until you cooperate.
With some diligence and cooperation, your IFTA audit should be pain-free and over in no time!

Truck Services of North America is here to help with all of your IFTA needs. As a premier processing agency, we will prepare your quarterly returns based on the information you provide us and file it directly with the state department.

The deadline for filing HVUT Form 2290 is also approaching. If you’re short on time, we can take care of that for you and much more! Form 2290 Suspended Vehicles

If a highway motor vehicle does not exceed mileage 5,000 miles or less (7,500 miles or less for agricultural vehicles) it is considered suspended and is exempt from tax. Mileage use limit means the use of a vehicle on public highways 5,000 miles or less (7,500 miles or less for agricultural vehicles). The mileage use limit applies to the total mileage a vehicle is used during a period, regardless of the number of owners.

An agricultural vehicle is any highway motor vehicle that is:

  1. Used (or expected to be used) primarily for farming purposes, and
  2. Registered (under state laws) as a highway motor vehicle used for farming purposes for the entire period. A special tag or license plate identifying the vehicle as used for farming is not required for it to be considered an agricultural vehicle.

So why would do you have to file if there is no tax due?  In order to obtain your registration and/or tags, state require and Stamped Schedule 1 from the IRS for all vehicles 55,000 lbs or more.  You must file Form 2290 in order to receive your Stamped Schedule 1.

As a premier processing agency, Truck Services of North America can file your Form 2290 Heavy Highway Use Tax for you.  TSNA takes the paperwork out of your way. Check out all our services at TSNAmerica.com and fill out the Service Request Form, email us at support@TSNAmerica.com or call 803.386.0320.
